This policy covers virtas.com.au and the details you give us when you deal with us. Virtas Group Pty Ltd (ABN 12 688 682 135) is responsible for it, and we handle your details under the Australian Privacy Principles. What we collect
When you send the form on this site: your name, mobile, suburb, what you need, and your email, timeframe and message if you give them. We also receive the page you sent it from, and any campaign tags or ad click reference in that page's address when you arrive from one of our ads.
When you ask for a price or book work: your contact details, the property's address and details, any floor plans or photos you send so we can size and price the job, our texts and emails with you, and your invoices and payments. When you open the quote link we send you, we record that it was opened and roughly how long it stayed on screen. When you accept a quote, we record the internet address and browser you accepted from, as evidence of your acceptance.
Like any website, ours sees the internet address and browser of every visit, and the company that hosts it can keep them in its logs. This site uses the address only to stop one address flooding the form, and keeps nothing but a scrambled code made from it, in memory.
What we use it for
To price, book and do your job, invoice you, keep your warranty and service records, remind you when a service is due, and, once the work is done, ask you for a review and whether you know anyone who needs us. If you have enquired with us before, we may text you an offer, with a way to stop. We also use some of it to see which of our ads bring customers, as set out below. We do not sell your details.
Texts and emails
We may text you back about your enquiry whether or not you tick the box on the form. The box, unticked until you tick it, says we can text you about your enquiry; ticking it agrees to texts about that enquiry and nothing else.
Every marketing text and email we send tells you how to stop them. Reply STOP to any of our texts, reply to an email and say so, or ring 1300 433 695 or email info@virtas.com.au, and within five working days we stop marketing messages to you from all of our numbers and addresses.
Cookies and measurement
This site's own code sets no cookies. When we have them switched on, two tools measure how the site is used and which ads bring enquiries: Google Analytics, which sets cookies whose names start with _ga, and the Meta Pixel, which sets cookies named _fbp and _fbc. They receive your internet address and record the pages you view, how you arrived, your device and browser, and when a form is sent or a phone number tapped. Meta collects information like this on other websites too, and uses it to measure ads and to choose which ads to show you. Google's map can set cookies of its own.

Advertising with Meta
Our ads run on Facebook and Instagram. When you enquire on our quote system's own enquiry page (not the form on this website), we send Meta a scrambled (hashed) copy of your phone number, with your internet address, your browser and the ad click reference. When any customer pays a deposit, whether or not they came from an ad, we send Meta the scrambled phone number and email we hold, the ad click reference if there is one, our job reference, what the job was and what it was worth. Meta uses this to measure which ads bring real customers and to decide who sees our ads.
Google's map and reviews
The map, our Google rating and the reviews on this site come from Google Maps, and the Google Privacy Policy applies to them. When the map or a reviewer's picture loads, Google receives your internet address and browser, and for the map the page you are on. If you have reviewed us on Google, your review, name and picture show here as Google supplies them.
Who else holds your details
We use other companies to run the business: our customer records and messaging systems, email, accounting, job management, the services that pass details between them, the company that hosts this website and our quote system, an email service that sends us alerts such as when you accept a quote, Google and Meta as above, and an AI service that measures the rooms on a floor plan you send us so we can size your system. Your plan is not used to train anyone's AI. We keep your details electronically, in accounts only our team can log in to.
If an enquiry from this site cannot reach our customer records system, the form tells you it did not go through and asks you to ring us on 1300 433 695. It says the same when one internet address has already sent three enquiries that day. If the same mobile number is sent twice within two minutes, the first is already on its way to us, so the second is not sent.

Some of those companies are based in, or keep information in, the United States or New Zealand.
Getting a copy, fixing it or deleting it
You can ask for a copy of what we hold about you, ask us to correct it, or ask us to delete it: ring 1300 433 695 or email info@virtas.com.au. We may ask you to confirm who you are first.
Some things stay after a deletion: invoices and the acceptance behind them, which the law makes us keep for seven years; your number on our do-not-text list, so you do not hear from us again; what has already gone to Meta or Google; and copies our providers keep for a set time under their own rules, such as our hosting logs, our automation service's records and the AI service's copy of a floor plan.
Complaints
Tell us first: ring 1300 433 695 or email info@virtas.com.au. Isaac Zein, our director, deals with it personally and answers within 30 days. If you are not satisfied with the answer, you can complain to the Office of the Australian Information Commissioner.
Changes
When what we do with your details changes, this page changes too, and so does the date at the top.
